Dealership Split

A dealership split occurs when a dealership that was previously operating as a single rooftop begins operating as two or more separate rooftops.

Examples include:

  • A multi-brand dealership splitting into separate franchise locations or moving brands into separate facilities
  • A client requests separating a combined rooftop into multiple rooftops

Because dealership splits impact contracts, billing, onboarding, reporting, and data processing, they must be reviewed before any changes are made.

Default Process

Unless otherwise requested by the client, dealership splits should be treated as the closure of one dealership and the creation of two or more new dealerships.

The original dealership should remain available for historical reporting purposes. Historical data should remain associated with the original dealership unless the client specifically requests otherwise.

Step 1 - Notify Sales

CSL - Notify the Sales representative responsible for the dealership's market of the change. You should determine:

  • The effective date of the split
  • The dealerships that will result from the split
  • Any contract updates required to reflect the new rooftop structure

Sales will follow the standard HubSpot sales process for Sending Contracts From HubSpot.

Once the updated contract has been executed, each resulting dealership should proceed through the standard onboarding process as a new dealership by following the Sales Pipeline: Sending to Rocketlane or Properties Board process.

Step 2 - Cancel the Original Dealership

The original combined dealership should be treated as a closed location.

Follow the standard Cancellation process:

Step 3 - Onboard the New Dealerships

Follow the Onboarding Process for each new dealership.

Step 4 - Determine Whether Data Must Be Moved

Historical data should remain associated with the original dealership unless the client specifically requests otherwise.

If historical data needs to be moved, obtain verbal or written approval from the client and submit a Moving Data Request form.
