CDK: Setting Up DMS Sales Reports

Allow CDK to Export Your Sales Data For You

The preferred method of integration with CDK is via the CDK Clarivoy Fortellis API Application.

CDK Integration Requirements

Sale Date: When using our CDK API integration, the deal Accounting Date is used as the Sale Date in your Clarivoy attribution data. If the Accounting Date is blank, we use the deal Contract Date instead. If you wish to use a different date field, we ask that you notify us in advance.

Our CDK Integration pulls the Gross values from your CDK DMS as follows:

  • Total gross = pulls from deal.TotalGross
  • Back gross = pulls from deal.BackGross
  • Front gross = uses the following rule:
    • If deal.frontEndGrossProfit is not blank, it is used.
    • If deal.frontEndGrossProfit is blank, deal.frontGross is used instead

If you wish to use gross fields other than those listed here, we ask that you notify us in advance and we can setup custom mappings for your dealership.

 
 

CDK Integration Instructions

Follow these instructions to set up the sales data integration between CDK and Clarivoy:

  1. Dealerships navigate to the following link to begin the process:

    * If you receive a 404 error when opening the link above, you do not have administrator privileges in your CDK DMS and will need to ask another dealership employee (who has admin access) to complete this task.
  2. Dealerships will be presented with the Clarivoy Multi-Touch Sales Attribution app.   
    Select  Activate  on the left side of the screen.
  3. Dealerships are directed to the Connect CDK Hub to complete enrollment. Dealerships login using their Connect CDK credentials.
  4. Once logged into the Connect CDK Hub; the dealership is presented with a list of available dealership departments to enroll. Dealerships will select stores enrolling. Ensure you select the department ending in -FI for each store.  Do not select -SL departments.
  5. The dealership is then presented with terms to review and approve. They do so by clicking on the “Review Terms” buttons. The terms will display and must be accepted.
  6. Dealerships will need to accept both sets of Terms to continue. They do so by clicking the blue “Yes” button at the bottom of the terms when they are opened. In some cases, there are three sets of terms. ALL terms must be accepted to enroll.
  7. Terms will then display as green and say terms accepted.
  8. The dealership now selects the complete subscription button.
  9. The dealership's steps are complete!    
    CDK will set up the connection, QA the data, then send it to Clarivoy.  This process typically takes 2-5 business days.

Account Setup for exporting on your own

The preferred method for integration is for Clarivoy to receive your sales data directly from CDK via an API integration.  If you prefer to export the sales data manually each month instead and then upload the file to Clarivoy, please follow these instructions.

1. Login to your CDK drive and on the right-side icon menu, click on REPORT AND ANALYZE (the  small pie chart icon) 

2. Click on ENHANCED REPORT GENERATOR under “General” 

                    
 
3. Click on NEW REPORT at the upper right

4. Under “Select Application”, click on FINANCE AND INSURANCE in the dropdown menu   

5. Under “File Name”, click on FI-WIP in the dropdown menu

 
6. Using the below Sales Data Requirements chart- select all of the required data fields by  clicking on the check boxes next to each field description in the left side “Dictionary Library”  menu. Make sure you select the columns in the order specified. If you do not, the buyer and  co-buyer information (address, phone, email) will be labeled incorrectly.     
As you select the data fields on the left, they will appear across the top “Report Columns” menu  (Note that the number in parentheses will be much larger than the number of columns you’ve  selected so far- don’t worry about this).

7. Drag the ACCOUNTING DATE column from the top “Report Columns” menu down to  “Selection Criteria”   

8. Under “Condition”, click on GREATER THAN OR EQUAL TO in the dropdown menu  

 

9. Again, drag the ACCOUNTING DATE column from the top “Report Columns” menu down to  “Selection Criteria”

10. Under the 2nd “Condition” (you just dragged down), click on LESS THAN OR EQUAL TO in the  dropdown menu

11. Click on the 1st small calendar icon under “Selection Criteria” (next to Greater than or Equal  to) and select the first day of the desired reporting month

 

12. Click on the 2nd small calendar icon under “Selection Criteria” (next to Less than or Equal to)  and select the last day of the desired reporting month   

13. Click on SAVE at the bottom right corner

14. Enter a name you can remember in the “Report Name” field, then click SAVE again   

15. Click on RUN at the bottom right corner

16. Under “Name”, click on EXPORT CSV in the dropdown menu   

17. Click on PRINT in the dialog box   

 

18. Save the CSV spreadsheet to your desktop, using a descriptive name including your store  name, the month, and the word “Sales”.   
Example: ABC Autos – January 2022 - Sales.csv   

19. Upload to our secure server at https://upload.clarivoy.com/mtsa, checking the box for “Sales”.


When you run the sales report for the following month, simply find your saved Sales Report in  the report list when you first open Enhanced Report Generator and click on the small MODIFY  REPORT icon to the left of the report name. After opening the report- just repeat steps 11 & 12 (changing the dates) for the new month, then RUN the report again.
