CDK CRM (Elead): Setting Up CRM Leads Reports

This article explains how to export your CRM Leads from CDK CRM (formerly ELEAD) to send to Clarivoy for processing your Multi-Touch Sales Attribution data.

Exporting CRM Leads from Ford Direct CDK CRM

These instructions are for Ford dealers who login to their CRM through a Ford website (forddirectcrm.com or corp.sts.ford.com).

 

CDK CRM Collect Instructions

  1. After logging in to your CRM, in the top right corner, click the dropdown to select the rooftop.

    If you have multiple rooftops and there is a “parent” rooftop (the group name such as “ABC Auto Group”), you can select that instead and get all the rooftops’ data together in 1 file.
  2. In the upper left corner, next to +Add, click 🔍 SEARCH
  3. Under “Step 1 – Select which database to  search”, in the dropdown menu, select PROSPECT SEARCH
  4. Under “Step 2 – Select your search criteria”, click the following checkboxes next to each data type. Make sure you are just selecting the first column of check boxes under the  small computer icon! (NOT under the small lock icon). 
    In the first column, check: 
    1. Under Customer Information
      • Name (First & Last) 
      • Phone 
      • E-Mail 
      • Street Address  
    2. Under Opportunity Information: 
      • DATE IN to filer dates, then enter the start date under "Date In Start" and  the end date under "Date In End" 
      • Source Type 
      • Lead Provider 
    3. Under Vehicle Wanted: 
      • Year 
      • Make 
      • New/Used 
  5. Under “Step 3 – Get Your Search Results” at bottom of screen: check both boxes for: 
    • “Display All Vehicles for Prospect” 
    • and “Include Dealer Info and Standard Address Fields"
  6. Click the GO button at the bottom.
  7. Once the results load, click DOWNLOAD MERGE FILE at the top.
  8. Save the file somewhere you will remember. Name it with your dealership name, the  words “CDK CRM” and the months the data is for.  
    Example: ABC Autos – CDK CRM – Jan 2025 to Feb 2025.csv 
  9. If you did not select the “parent” rooftop in Step 1 and you have additional rooftops, Repeat the previous steps for each additional rooftop. 
  10. Log out of CDK CRM 
  11. Go to https://upload.clarivoy.com/mtsa to securely upload all files, checking the box for “CRM Leads”.

Existing Login for Clarivoy
If you already have an existing CDK CRM (ELEAD) login for Clarivoy, please add the store(s) to the existing login.
 

New to Clarivoy
Please create a CDK CRM (Elead) login for Clarivoy.

  1. Go to Admin -> CRM Setup -> Personnel.  At the top of the page, click the Add Personnel button.
  2. Under Positions, add Administrator.  Administrator level access is required for Clarivoy to download the monthly leads files. 
  3. In the Add Personnel screen:
    1. Under Notification Address, do NOT fill in an Email address.
    2. Under CDK SSO User Details, use this format for the SSO username:        
            datateam+clientname@clarivoy.com
      Replace clientname with your dealership name (no spaces).  Make sure you include the + sign.  
      Example: If your dealership name is ABC Autos, the email address would be datateam+abcautos@clarivoy.com.
  4. Ensure the boxes are checked for both Active and Login, then click Save.
  5. In the Store Assignment:
            ◦ Enable access for all stores under one single login.
            ◦ Enable access to the group store (your automotive group) under the same login.
