Why can't I enter Ad Spend for a specific source?

The Dashboard will only allow you to enter Ad Spend for a source if that source is:

  1. Found in the property's leads data
  2. Attributed to a Sale
  3. NOT classified as channel=internal
  4. NOT consolidated with another source

Troubleshooting Steps

If you do not see a specific source on the ROI Audit page, follow these steps to (A) verify that attribution exists for this source, (B) verify that the source appears in the property's Leads Data, (C) check the source's classification, and (D) check source consolidation.

  1. Check the ROI Audit page - Vendor Report.
    1. Set the filters to the specific property (check only 1 at a time) and the Sales Dates to the specific month in question.
    2. The lead source must be listed here with Sales Attributed > 0 in order to appear in the Ad Spend entry.  If it is not listed here, there may be no Sales attribution for that specific source.
  2. Open the Looker board Leads Dashboard.
  3. At the top of the page, set the following filters:
    1. Property ID = the property ID in question  (check only 1 property at a time as Ad Spend entry is specific to each individual property!)
    2. Start Date (Standardized) = set to a range for the entire month in question that you are trying to enter Ad Spend for in the Dashboard
  4. In the top right corner, click the blue Load/Update button.
  5. Scroll down to the Lead Source Summary (Non-Call Tracking) tile.
  6. Look to see if the source is listed in the Lead Source Summary (Non-Call Tracking) list.
    1. If the source does not appear here, we are not receiving leads for this source.  Ad Spend can only be entered when we are receiving leads for a specific source.
    2. Sometimes, the source may appear on a different property within the same client group (occasionally a parent property), depending on how the dealer set up their CRM and is logging their leads.  If the Source appears on a different property, but not the specific property you want to enter Ad Spend for, the property may be receiving cross-family attribution for the Sale, however there is no current solution to allow Ad Spend entry for this source.  Our Dashboard does not offer Ad Spend entry across multiple properties or at the Client (Auto Group) level.
    3. Not all vendors integrate with a dealer's CRM.  It is possible that the vendor in question is not sending their leads to the dealer's CRM.  In this case, we will need to receive the vendor's leads as a separate data source.  You can request a new vendor to be added to a dealer's data using the Vendor Changes process.
  7. Verify the Channel Classification.
    1. If the source's Channel Classification=internal, this is why it is not appearing in the Ad Spend entry.  You must reclassify the source under a different channel.  See Reclassifying CRM Sources.  Note that Source Classification affects data for ALL properties, not just your specific client, so be careful when reclassifying sources.
  8. If the source appears in the Lead Source Summary and the Channel Classification is NOT internal, the source may have been consolidated with another source.  Note that Source Consolidation affects data for ALL properties, not just your specific client.
    1. Open to the Looker board Source Management.
    2. Set the filter for the Property Name.
    3. Scroll down to the Source Alias Table tile.
      1. Source Alias = the source as it appears in the Leads data (all lowercase, no spaces or punctuations)
      2. Source Name = the name that the source will appear under in Ad Spend
    4. To request a new Source Consolidation or a change to existing Source Consolidation, see Source Consolidation for more information on this process.

Requesting Further Investigation

If you have followed all Troubleshooting steps above and they do not provide a reason for the missing source:

  1. If the source DOES appear in the specific property ID's leads data for the specific month
  2. AND if the Source is NOT classified as channel=internal
  3. AND if the Source is NOT an alias for another source)

Then open a ticket on the Tickets Board under category=Dashboard Data and include the following information:

  1. A link to the Looker data or exported Excel file which includes at least 1 lead for the specific source
  2. What channel the source is classified as (the Channel Classification)
  3. Confirm that you checked the source is not an alias for another source

After all of the above steps have been followed and the required information above has been provided, the Engineering Team will investigate.
