Preparing for and Running Meetings with Enterprise Clients

Supporting enterprise clients requires a distinct approach from working with smaller customers. This guide provides a flexible set of suggestions and a checklist to help the Customer Success team effectively prepare for and execute meetings with large client groups. It's designed to support consistent, high-quality interactions that reflect the complexity and scale of enterprise relationships.

Establish Clear Expectations Early

  • Clarify expectations and preferred meeting formats by the second meeting.
  • Determine the desired depth (store-level vs. high-level) and output format (dashboards, summaries, etc.).
  • Key questions:
    • Who are the key stakeholders?
    • What level of detail is needed?
    • What format is most useful?
    • How will the information be used?

Balance Preparation and Efficiency

  • Avoid deep prep unless detailed reviews are explicitly requested.
  • Focus on strategic highlights and insights.
  • Use group reporting; scan executive summaries, KPI Over Time, and ROI Audit.
  • Prioritize outliers and notable trends (e.g., cost per sale variances).

Use KPIs to Drive Focus

  • Use quantifiable metrics to shape discussions:
    • CPSI by channel (from ROI Audit)
    • Executive summary KPIs (e.g., Cost per Vehicle Sold)
  • Lean on data when direction is unclear.

Be Transparent About Time and Scope

  • For larger portfolios (10+ stores), set clear expectations about what can be covered.
  • Suggested formats:
    • Focus on a few stores per meeting
    • Rotate store focus monthly
    • Use summary visuals to speed up reviews

Use Simple, Reusable Prep Tools

  • Capture dashboard screenshots per store
  • Compile into a deck or notepad for quick access
  • Document patterns and recurring themes (e.g., strong social, weak organic)

Stay Customer-Centric and Adaptive

  • Allow flexibility to shift agendas as priorities change.
  • Be ready to pivot to urgent issues or specific store/campaign focus.
