DealerCenter: Setting Up CRM Leads Reports

Allow Clarivoy to export your leads data for you

This is our preferred method.

Please create a login for for Clarivoy so that our team can pull and load this data for you each month.

  1. Use this format for the email address:
        datateam+clientname@clarivoy.com
        Replace clientname with your dealership name (no spaces).  Make sure you include the + sign.  
        Example: If you dealership name is ABC Autos, the email address would be datateam+abcautos@clarivoy.com.
     
  2. Under Roles, select:
        • DealerAdmin
                and
        • ManagementReportViewer

    These roles are required so that we may create reports to export your leads for use in Sales Attribution.
     

Exporting CRM Leads on your own

User Profile Requirements

In order to Create CRM Leads reports and Export data in DealerCenter, the following user Roles are required:

  • DealerAdmin
  • ManagementReportViewer

Both roles are required to view all leads for the dealership, create the report, and export data.

Creating the Report

  1. Login to DealerCenter CRM
  2. On the left side menu, click Reports 
  3. At the bottom left, click Add New Report 
  4. Click Customer 
  5. You will see the Report Settings dialog box.  Cycle through the tabs and enter the report criteria as follows.
  6. Report Information tab
    1. Name = Clarivoy CRM Report
  7. Columns tab
    1. If Last4SSN column exists, checkmark it then hit the red X to delete it.
    2. Click Add Column at the bottom, then click in the empty column added and search for each of the following columns.  Repeat for each column listed.
  • Customer Created Date
  • First Name
  • Middle Name
  • Last Name
  • Mobile Phone
  • Home Phone
  • Work Phone
  • Email
  • Street
  • City
  • State
  • Zip
  • Lead Type
  • Customer Status
  • Lead Source
  • Inquiry Type
  • Interested Vehicle Make
  • Interested Vehicle Model
  • Interested Vehicle Year
  1. Advanced Filter tab
    1. In the top right corner, click + Add Filter
    2. Choose Customer Created Date in the first box
    3. Choose Between in the 2nd box
    4. Enter the dates you need for backdata (2 months prior to your Clarivoy Start Date) 
  2. At the bottom, click the blue  Save  button
  3. How to Export the Backdata
    1. Click the Print/Export button at the top  
    2. Choose CSV - Raw Data
    3. Click  Export 
    4. Save the file somewhere you will remember. Name it with your dealership name, the words “DealerCenter CRM” and the month(s) the data is for. 
      Example:  ABC Autos – DealerCenter CRM - Aug to Sep 2024.xls
  4. Adjust the Date Filter
    1. Now, let's adjust the date filters so it pulls the Previous Month (for future months)
    2. Click the Edit button at the top
    3. Click the Advanced Filter tab
      1. Next to Customer Created Date, change Between to "Previous"
      2. In the third box, choose “Month” 
  5. At the bottom, click the blue  Save  button
  6. Confirm Saving - If the Save is successful, you will get a green confirmation box in the top right corner.
    1. If you do not see the green confirmation box and the screen remains on the Add New Report flyout, you may not have the correct role or permissions to be able to save a report.  See the User Profile Requirements section.
  7. Upload data - Go to https://upload.clarivoy.com/mtsa to securely upload the file, checking the box for “CRM Leads”.

After creating the report, follow the instructions below to export the data each month.

 

Exporting the Data

  1. On the left side, click on Reports
  2. On the left side of the flyout box, click on Customer
  3. Click Clarivoy CRM Report
  4. Ensure the Customer Created Date filter is set to Previous Month
  5. Click Run
  6. Click the Print/Export button at the top
  7. Choose CSV - Raw Data
  8. Click  Export 
  9. Save the file somewhere you will remember. Name it with your dealership name, the words “DealerCenter CRM” and the month(s) the data is for. 
    Example:  ABC Autos – DealerCenter CRM - October 2024.xls
  10. Go to https://upload.clarivoy.com/mtsa to securely upload the file, checking the box for “CRM Leads”.
