Activix: Downloading Sales From The CRM

Allow Clarivoy to export your Sales data for you

Please create an Activix CRM account for Clarivoy so that we can export your Sales data for use in Sales Attribution.

  1. Use this format for the email address: datateam+clientname@clarivoy.com
    Replace clientname with your dealership name (no spaces).  Make sure you include the + sign.  Example: If you dealership name is ABC Autos, the email address would be datateam+abcautos@clarivoy.com.
  2. Under account setup, your Profile must have the following settings to be able to create reports:
    Role = Manager
    Title = Sales Director
  3. We need your approval to request data Export permissions from Activix support.  Please email us with the login information and "APPROVED FOR EXPORT".  We will work with Activix Support to request Export permissions for our account.

INTERNAL INSTRUCTIONS

Once dealer approval is received, email support@activix.ca and request Export Capabilities (Generate Report).  Activix Support should confirm once access is granted.

 

 

Exporting the Sales Report on your Own

Account Setup

In order to export Sales data in Activix, your account must be set up as follows:

  1. Under account setup, your Profile must have the following settings to be able to create reports:
    Role = Manager
    Title = Sales Director
  2. You must email Activix Support to request Export permissions.  An Admin at your dealership must send an email to support@activix.ca and request Export Capabilities (Generate Report). Activix Support should confirm once access is granted. 

Report Setup

  1. Login to Activix CRM at https://crm.activix.ca/
  2. Click on My Clients in the left side menu
  3. Ensure the dropdown box below the search box is set to My Clients
  4. In the top right corner, click on the dates to change them.
  5. Set the dates to the dates needed.
  6. Click Submit
  7. In the box to the left of the dates, click the dropdown arrow. Clear all checkboxes and select only Sale Date.
  8. Scroll down to “Clients+” report section (past the “Clients By” report)
  9. Click the Column Visibility icon (to the right of the floppy disk icon).
  10. Ensure "All' is checked
  11. Search for “Date of Birth” and uncheck “Date of Birth”
  12. Click on the small circle stack icon (to the right of the floppy disk save icon) that says GENERATE REPORT when you hover the cursor over it.

    If you do not see the Generate Report button, you need to email Activix to request additional permissions - see the Account Setup section above.
  13. For “Please choose an export type”, select CSV
  14. Click Generate
  15. The report will be emailed to you.

Set up the Monthly Report Delivery 
16. Scroll back to the top of the page. 
17. In the top right corner, click on the dates to change them. 
18. Select “Last Month” from the choices to the right of the calendar. Click Submit.

20. In the box to the left of the dates, click the dropdown arrow. Clear all checkboxes and select only  Created By
21. Scroll back down to the “Clients +” report section. 
22. Click on the floppy disk save icon.  
Save with these options: 

a. Title = Dealer Name - Sales from Activix
b. Date Range = Last Month 
c. Under Add Subscription, choose: 

i. "Monthly" 
ii. "CSV" 
iii. First Execution Date = 1st of next month and pick a random time prior to 6 AM. 

23. Click New to save.

Additional Rooftops

  1. For additional Rooftops, login to each additional rooftop and repeat the previous steps

Uploading the Files 

  1. Find the email(s) with the Sales data attached. Save the attachment files(s) somewhere you will remember. Name each file with your dealership name, the words “Sales from Activix” and the months the data is for
    Example: ABC Auto - Sales from Activix - Jul 2023 to Sep 2023.csv
  1. Upload all files securely at https://upload.clarivoy.com/mtsa , checking the box for “Sales”.

 

 

To Manually Download the Sales Data

If, for some reason, the Sales report is not delivered to you on the 1st of the month, you can login and manually  download the data.  

  1. Login to Activix CRM at https://crm.activix.ca/ 
  2. Click on My Clients in the left side menu  
  3. Click on My Clients dropdown at the very top, then select the saved report name under "MY  VIEWS" 
  4. The dates should default to Last Month (top right corner). If not, select Last Month and click Submit.
  5. Scroll down to "Clients +" report (past the "Clients By" report) 
  6. Click on the small circle stack icon (to the right of floppy disk save icon) that says GENERATE REPORT  when you hover over it.

    f you do not see the Generate Report button, you need to email Activix to request additional  permissions – see Account Setup section above. 
  7. Select CSV in the "Please choose an export type" icon, then click Generate
  8. The report will be emailed to you. 
  9. If there are additional rooftops, login to each additional rooftop and repeat all previous steps. 

Uploading the Files 

  1.  Save the email attachment file(s) somewhere you will remember. Name each file with your  dealership name, the words “Sales from Activix CRM” and the month the data is for.  
    Example: ABC Autos – Sales from Activix CRM – Aug 2023.csv 
  2. Upload all files securely at https://upload.clarivoy.com/mtsa, checking the box for “Sales”. 

 

Editing the Report Schedule

It may take a minute for schedule to save initially.  

  1. Refresh the My Clients page. 
  2. Click the dropdown on "My Clients" at the top and hover over the report name. 
  3. Click the pencil icon next to the report name. 
  4. Edit preferences as needed. 
  5. Save.

Dates - Unparsable Date Filtering

  • Date field is "date".
  • If sales rows get filtered for "Unparsable Date", make sure time zone in DMUI is set correctly for the property (must match the timezone in the timestamp in "date" column).  If timestamp time zones are mixed in "date" column, you will need to remove all timestamps (replace "T*" with "" [blank] in that column's values).
