Is your dealership's Reynolds & Reynolds DMS already integrated with DealerVault?
You have indicated that your dealership's Reynolds & Reynolds DMS is already integrated with DealerVault.
You have two choices of how you can get your sales data from your Reynolds & Reynolds DMS to Clarivoy:
- (Preferred) Once per month, export your sales data and upload the file to Clarivoy's secure website.
- (Not Preferred) At least once per week, export your sales data and upload the files to DealerVault, who processes the data and sends the sales to Clarivoy.
It is required that you push the data at least once every 7 days to avoid what DealerVault calls a “lagging Sales feed”.

Once per month, you will need to export your sales data and upload the file to Clarivoy's secure website.
Account Setup for exporting on your own
This is the Preferred Method. Dealers create a sales report in their Reynolds & Reynolds DMS. Once per month, dealers export the report and upload it to Clarivoy's secure upload website.

Building the Report
User Access Required
To pull Sales reports, the Reynolds & Reynolds DMS user must have access to the F&I Master data set (specifically, FIMAST-FANDI).
1. Login to your Reynolds & Reynolds DMS.
2. Opening the RMI (Retail Management Intelligence) application. On the left side of the screen, under User-Defined Reports, select Dynamic Reporting.
3. Press Ctrl+A to open the Add New Dynamic Report window, or press (F9) Add New.
4. Choose Blank Report and click Add (F12)
5. On the Basic Info tab:
a. Title = Clarivoy Sales Report
b. Data Set = FIMAST-FANDI
*If you get an error message or cannot see this dataset in your search results, you do not have the user access required. Please contact your Reynolds & Reynolds Admin to request access to the F&I Master dataset.
c. Store/Branch Selects = select the store(s) you are running the report for. If you have multiple stores, select all stores.
6. On the Criteria tab, add the following criteria:
7. On the Output tab, click the search icon next to the blank field
8. The Dynamic Reporting Field Picker dialog box opens.
Search for each for the fields on the next page by typing the field name, then pressing (F5) Search. In the Results, Double click on the field name to add it to the report.

9. Click Close to close the Dynamic Reporting Field Picker dialog box.
10. On the Output tab, next to the Field DEAL-DATE, ensure the Format is set to MM/DD/YY.
11. On the Advanced tab, specify a path and filename you will remember in the Export To box.
12. Finally, press (F12) Add to save your report.
13. Follow the steps below to export the file.
Exporting The Sales Each Month
1. Login to your Reynolds & Reynolds DMS – RMI ERA-IGNITE application
2. Go to Dynamic Reporting by opening the Retail Management Intelligence application, then select Dynamic Reporting from the User-Defined Reports section on the left side of the screen.
3. Search for the report you previously saved, which was named Clarivoy Sales Report.
4. Click the blue Edit link next to the report name.
5. Go to the Criteria tab
6. Update both the start and end dates
7. Press (F12) to Update your report.
8. Click the Escape button on the toolbar to return to the previous window.
9. Back on the Search Dynamic Reporting window, click on the report name to highlight the row. Press (F10) Run Report.
10. Once the report loads, click the Escape button on the toolbar to return to the previous window.
11. Back in the Search Dynamic Reporting window, go to the Completed Reports tab. You should see the report you just ran at the top of the list (if you do not, search for it by name and find the report that was Last Run on today’s date).
12. Click the report name to highlight the row. Press (F7) to Export. Save the file somewhere you will remember.
13. Do not modify the file in any way once you have exported it. Leave the column names as they are.
14. Find the file and rename it with your dealership name, the word “Sales” and the month.
Example: ABC Autos - Sales - Aug 2023.csv
15. Upload the file securely at https://upload.clarivoy.com, checking the box for “Sales”.
Allow DealerVault to Collect Your Sales Data For You
If you prefer to export your data from Reynolds & Reynolds DMS on a weekly basis rather than once per month, DealerVault can collect and forward your data to Clarivoy, but reports cannot be "scheduled" within Reynolds and Reynolds. Dealers must manually "push" data to DealerVault at minimum once per week. For more information on this process, see Pushing Your Sales Data to DealerVault.
DealerVault can ONLY pull sales data from the F&I side of Reynolds & Reynolds DMS. DealerVault can NOT pull sales data from the Accounting side. The Deal Date in the F&I side (FIMAST.DEAL.DATE) is used as the Sale Date in your Clarivoy attribution data. If you wish to use a different date field other than Contract Date, we ask that you send your sales files manually instead.

DealerVault pulls the Gross values from the F&I side of Reynolds & Reynolds DMS as follows:
- Total gross = pulls from GROS-PFT in the R&R F&I app
- Back gross = pulls from NET-FI in the R&R F&I app

Front gross = uses the following rule:
- If DEAL-CATE = L (lease), then pulls from the VEH-GRS in the R&R F&I app
- If DEAL-CATE = (anything else), then pulls from ACCTG-GROSS in the R&R F&I app
If you wish to use gross fields other than those listed here, we ask that you send your sales files manually instead.
Pushing Your Sales Data to DealerVault
DealerVault requires an Administrator at your dealership to manually “push” your Sales data to DealerVault. Once received, DealerVault will transmit your sales data to Clarivoy.
Most dealerships perform this data push two to three times per week. Regularly pushing your data is critical so that Clarivoy has your most updated sales data.
Please wait until your accounting department has finalized the previous month, then complete the steps outlined in this link to push your Sales data to DealerVault:
DealerVault Reynolds & Reynolds DynReport Extraction Guide
Once you push your sales data to DealerVault, it can take 2-3 days before Clarivoy receives it. If you have already completed these steps, thank you - please disregard this message.
Some dealers find it more convenient to export a Sales report from their DMS and upload the file to us once a month. If you would rather pursue that option, please let us know.
