Reynolds & Reynolds CRM: Exporting Sales Data for Source Reports

This article explains how to export a monthly Sales report from Reynolds & Reynolds CRM.

Setting up the Report

If you have already set up the report, please skip to Pulling the Report Monthly section below. 

  1. Access the Report Collections
    1. IF YOU START IN THE LEGACY CRM SCREEN:
      1. Go to Reports | Collections: 
      2. Click on CUSTOMER in the top left dropdown box (next to the initials) 
      3. Click on REPORTS at top right menu, then select COLLECTIONS from dropdown menu 
    2. OR IF YOU START IN THE "FOCUS" SCREEN: 
      1. Click the 3 lines Menu bar button in the top right 
      2. Under Reports, click "Collections" 
  2. At the bottom right, click "Add" 
  3.  Primary Category = Sales 
  4. Collection Name = Clarivoy Sales Report 
  5. Click "Add criteria" 
    1. Sales Deal Date 
    2. Comparison = Range 
    3. Enter the date range needed 
    4. Update
  6. Add (bottom right)
  7. Follow steps to export: 
    1. Under “Collection Name”, find "Clarivoy Sales Report". Click in the middle of the row that contains "Clarivoy Sales Report" (it will turn yellow). Do not click on the  underlined report name.

       
    2. Click EXPORT (bottom right) 

       
    3. If this is the first time running report for this client- you will have to select each desired  column from the “Available” list on the left: 
      1. Deal – Business Unit Name
      2. Deal – Sales Deal Date
      3. Client – Client First Name
      4. Client – Client Middle Name
      5. Client – Client Last Name
      6. Client – Client Suffix
      7. Client – Client Address 1
      8. Client – Client Address 2
      9. Client – Client City
      10. Client – Client State
      11. Client – Client ZIP Code
      12. Client – Client Home Phone
      13. Client – Client Cell 
      14. Client – Client Work Phone
      15. Client – Client Email
      16. Client – Client Alt. Email
      17. Deal – Vehicle Stock Type
      18. Deal – Sales Deal Category
      19. Deal – Vehicle Year
      20. Deal – Vehicle Make
      21. Deal – Vehicle Model
      22. Deal – Vehicle VIN
      23. Deal – Sales Front End Gross
      24. Deal – Sales Back End Gross
      25. Deal – Sales Gross Profit
      26. Deal – Sales Price
         
    4. Enter the security captcha, then click on EXPORT. 
    5. You will get a message that says “The system will process this Export job on the server. When  it is finished you will receive a message in your inbox”.
    6. Click OK. 
  8. Go get the file: 
    1. Go to your messages: 
      1. Click on MY DESK at top right menu, then select MESSAGES from dropdown menu 
      2. OR if there is no "Messages" under "My Desk",  
        Click the Focus icon at the top left (looks like a person) which will take you  
        to https://focus.dealer.reyrey.net/
    2. Click the Home icon at top.
    3. Click the Inbox icon at the top center.
    4. Click on name of report you just ran, listed in the search results.
    5. Under “Attachments”, click the arrow icon to download the file. 
  9. Save the file somewhere you will remember. Name it with your dealership name, the words “Reynolds & Reynolds Sales” and the months the data is for.  
    Example: ABC Autos – Reynolds & Reynolds Sales – Jan 2022 to Mar 2022.csv 
  10. If you have additional stores, log out, then login to the next store. Repeat steps for each dealership. 
  11. Go to https://upload.clarivoy.com/sourcereports to securely upload all files, checking the box for “Sales”.


Pulling the Monthly Report

  1. Go to Reports | Collections:
    1. IF YOU START IN THE LEGACY CRM SCREEN:
      1. Click on CUSTOMER in the top left dropdown box (next to the initials) 
      2. Click on REPORTS at top right menu, then select COLLECTIONS from dropdown menu 
    2. OR IF YOU START IN THE "FOCUS" SCREEN: 
      1. Click the 3 lines Menu bar button in the top right
      2. Under Reports, click "Collections" 
  2. Under “Collection Name”, find "Clarivoy CRM Leads Report". Click on the underlined report name to  edit the report.
  3. Edit the date filter: 
    1. Click on the underlined words Prospect Created Date 
    2. Change to the desired dates. 
    3. Click Update. 
    4. Click Save (bottom right).
  4. Back on the Reports | Collections screen, find "Clarivoy Sales Report". Click in the middle of  the row that contains "Clarivoy CRM Leads Report" (it will turn yellow). Do not click on the  underlined report name. 
  5. Click EXPORT (bottom right). 
  6. Enter the security captcha, then click on EXPORT. 
  7. You will get a message that says “The system will process this Export job on the server. When it is  finished you will receive a message in your inbox”. Click OK. 
  8. Go get the file: 
    1. Go to your messages: 
      1. Click on MY DESK at top right menu, then select MESSAGES from dropdown menu
