SA+TVA Monthly Ops Board Resets

1. Lock the Boards

Automated Process (no work required)

🚦 THIS STEP HAS BEEN AUTOMATED via the following Make scenarios.  At the beginning of each of these Make scenarios, a Monday GraphQL call is made to set Board Permissions for General Access to “Viewer”.  At the end of a successful run, the Board Permissions for General Access will be set back to “Collaborator”.

As a failsafe, in case any of the Board Reset scenarios fail to complete successfully and the incomplete executions are not resolved, the following scenarios will set Board Permissions for General Access to “Collaborator” at the start of their run:

Manual Process - Lock the SA+TVA Ops Boards

This is an important step so that others cannot edit the board items while you are resetting them.

Ensure you are logged into the Clarivoy Support Monday account.

  1. Go to the SA+TVA Ops Overview board
    1. Click the Invite button in the top right corner
    2. At the bottom, under General Access, next to Everyone else at Clarivoy, choose “Viewer”. This will prevent others from editing the board items.
    3. In the top right, click the X to close the dialog.
  2. Go to the SA+TVA Ops Monthly Tasks board
    1. Click the Invite button in the top right corner
    2. At the bottom, under General Access, next to Everyone else at Clarivoy, choose “Viewer”. This will prevent others from editing the board items.
    3. In the top right, click the X to close the dialog.

2. Disable Ops Overview Daily Review [if necessary]

If you are performing an Automated Board Reset using Make.com, then skip to Step 3.

Automated Process (no work required)

🚦 The Make scenario Ops Overview - Daily Item Review…. will not run on the last weekday of the month.
The Make scenario Ops Overview - Daily Item Review…. will also be disabled automatically as part of the following scenarios:

Manual Process - Reset performed on NOT Last Business Day of the Month

If you are performing a Manual Board Reset (not using the Make scenarios) on a day other than the last business day of the month (a weekend, or not the last weekday of the month), then we need to disable the Make scenario that flips Ops Overview statuses hourly, so it does not interfere with the Board Reset:

  1. Open the Make Scenario Ops Overview - Daily Item Review [Flip Processing Status]
  2. Flip the toggle in the top right corner from to

After resetting the boards, we will need to reenable this scenario.

3. Ops Dashboard Reporting

Ops Dashboard Reporting

IT IS VERY IMPORTANT TO DO THIS BEFORE MAKING ANY CHANGES TO THE BOARD!!

  1. Go to Ops Workspace -> Operations Dashboard
  2. WAIT for the entire dashboard to load.  Scroll down the page to verify that all charts are populated.
  3. Click on the three dots icon ⋯ (top right) then Export to PDF. Save with the processing month's name & year (prior month) to the Dropbox folder: Ops Dashboard monthly reports
  4. Email the PDF to:
    1. Ops Director

4. Process Cancellations & Holds

Holds: Start of Hold date = final day of reporting (the last day of data that should be processed)

Ex: If Start of Hold date = March 31, we will process March's data (in the month of April). Tasks and Ops Overview item will remain on the boards until April 30, 2023 at which time the board is reset for April processing.

Cancellations: Final Day of Reporting = the Last day of reporting (usually the last day of the month that follows the MTSA - Cancellation Notice Received date, but can vary due to the CS Save/Cancellation Process).

Ex: If Cancellation Notice is received in February, the Final Day of Reporting will usually be March 31. We will process March's data during the month of April. The Monthly Tasks and Ops Overview item will remain on the boards until April 30 at which time the board is reset (so we can begin April processing on May 1).

4a. SA+TVA Ops Monthly Task Board - Cancellations

SA+TVA Ops Monthly Task Board - Cancellations

Automated Process

The Make scenario that processes Task cancellations is run automatically on the 25th of each month, and must be MANUALLY TRIGGERED to run again on the last business day of the month (as part of the Board Reset process).

Last Day of the Month

25th of Each Month

🚦 On the last day of the month, manually run the Make.com scenario Board Reset: Cancellations/Holds: Tasks for cancel+hold (25th for DMS only; manual last day for ALL tasks) which will move all tasks for cancelled + hold properties to the Inactive (or Hold) group.

IT IS IMPORTANT TO RUN THE TASKS CANCELLATIONS SCENARIO BEFORE YOU RUN THE OPS OVERVIEW CANCELLATIONS SCENARIO!!  The Task cancellation scenario relies on mirrored Final Reporting Date values from Ops Overview, so if the OO items are unlinked from the cancelled Properties first, there will be no Final Rep Date values to reference.

  1. Open the link to the Make scenario above.
  2. Click the purple Edit button (top right corner)
  3. Click the ▶️ Run Once button
  4. Watch the execution details box on the right side of the screen. Wait for execution to finish.
  5. Check Datateam email box.  A confirmation email will be sent containing all Tasks that were Processed and those that could not be processed automatically (Unprocessed).
  6. Follow instructions below under "Manually Process the Unprocessed Items".

AUTOMATED PROCESS FOR INACTIVATING DMS TASKS FOR CANCELLATIONS ON THE 25th OF EACH MONTH:

🚦 On the 25th of each month, a Make.com scenario Board Reset: Cancellations/Holds: Tasks for cancel+hold (25th for DMS only; manual last day for ALL tasks) will move DMS tasks for cancelled+Hold properties to the Inactive (or Hold) group if they meet the following criteria:

  • Method = DV SFTP, SFTP or API
  • Task Status = DMS Done, Dealer Unresponsive or SKIP
  • Ops Overview Status = Verify Prod or Dealer Unresponsive
  • The linked Ops Overview's linked properties must all have cancellations in previous months
  • If part of a group is not cancelling OR part of a group has future cancellations, Make will notify DataTeam that the DMS item could not be Inactivated and must be manually Inactivated.

Upon completion of the Make scenario run, a summary email will be sent to DataTeam detailing:

  • Which DMS tasks were Inactivated
  • Which DMS tasks could not be Inactivated and why - Ops must follow up on these and manually Inactivate these tasks (unlinking or splitting out certain properties as needed)

Follow instructions below under "Manually Process the Unprocessed Items".

Manually Process the Unprocessed Items

Review the email confirmation sent by the Make.com scenario and look for the Unprocessed items section at the bottom. You will need to manually process these tasks.

NOTE: NOT ALL of the tasks listed under Unprocessed Items may need to be placed in the inactive or hold group if it is a Partial Cancellation or Partial Hold (for a group; where some properties are cancelling and some are not). In that case, only inactivate the tasks for properties that are cancelling.

When reviewing Unprocessed Items, ensure that items you are processing have a Final Reporting Date or Start of Hold Date that is in the PAST (not today or a future date).

For tasks that could not be Inactivated by the Make.com scenario automatically, follow this process. Typically those tasks are linked to multiple Ops Overview items or multiple Properties, some of which are not cancelling (a "Partial Cancellation" or "Partial Hold").

  1. If it is a partial cancellation and the tasks are single rooftops, review the Properties board to figure out which rooftop(s) are cancelling and move those tasks to the Inactive group (or Hold).
  2. If it is a partial cancellation and the task is for multiple properties, you will need to manually remove the cancelled rooftops from the tasks.
    1. Edit task name and remove property ID(s) for cancelled rooftops
    2. Update the pulse denoting which rooftops were removed and why (example: Removed ABC Motors Honda (99991) because they cancelled MTSA with a Final Day of Reporting of 1/31/2024)
    3. If there is a processing link to verify data in Looker, clear the Processing Link column. Make.com will generate a new processing link column the following morning.
    4. If it is a (multi) report where we receive data for an entire group, do not login and remove the cancelled rooftop. We will continue to receive their leads and load them in case the cancelled rooftop comes back on board later.

Manual Process

ONLY FOLLOW THIS PROCESS if Make.com scenario does not work.

Go to the SA+TVA Ops Monthly Task Board.  You must make the tasks for cancelled dealers Inactive.

  1. On the Clarivoy Properties board, see Cancellations That Need Processed This Month view.
  2. Note which clients have Cancelled or are starting a Hold.
  3. On the Monthly Tasks board, for each Cancelled client, filter for their tasks.
  4. For each task:

IF the property cancelling is part of a larger group and the entire group did not cancel:

  1. Remove that property ID from the item name
  2. If applicable, remove the property ID from any Looker links in the Processing Link column
  3. Denote the specific property cancellation in the task's conversation updates

Otherwise:

  1. For any with METHOD=AUTOMATED REPORT
    1. Login to the vendor site and unschedule the report delivery.
    2. 🚨 Automation will create a task reminding Data Team to do this on Ops Task Board under the Cancellation Tasks group.

    1. Login to Authenticom and deactivate the DealerVault feed.
      1. 🚨 Automation will create a task reminding Data Team to do this on Ops Task Board under the Cancellation Tasks group.  Mark this task as Done.
  4. For any with METHOD=API
    1. Login to the Dashboard, find the property, click 3rd Party and set the API key to Status=Inactive.
      1. 🚨 Automation will create a task reminding CS Specialist to deactivate all APIs for cancelled clients on Ops Task Board under the Cancellation Tasks group.  Mark this task as Done.
    2. For CDK API clients, login to Fortellis and cancel the subscription. (This should have been done on the 25th of the month)
      1. 🚨 Automation will create a task reminding Data Team to do this on Ops Task Board under the Cancellation Tasks group.  Mark this task as Done.
  5. Select all line items for Cancelled Clients
    1. For all with a (multi) folder where all rooftops have cancelled, go to Dropbox and delete the Insyncing Data Drop (multi) folder
  6. Move to group Inactive. 🚨 This triggers an Automation that will:
    1. Clear Task Owner
    2. Clear Status
    3. Clear Data Required Email

    4. Clear Monthly Status
    5. Clear Processing Month
    6. Clear CSL

Reset Ops Overview Items

Automated Process

Run the Make.com Scenario to Reset Ops Overview Board items

This scenario can only be run at the end of the month, for resetting the board for the following month.

  1. Open the Board Reset - Ops Overview Initialization scenario on Make.com
  2. Click the purple Edit button (top right corner)
  3. Click the ▶️ Run Once button
  4. Watch the execution details box on the right side of the screen to ensure it runs.
  5. This scenario will
  6. After this scenario runs, Make.com will trigger a daisy chain of scenarios to run after it in this order:
    1. Board Reset - Ops Overview Processing
*This scenario processes the OO Active group items in chunks of 300 items at a time, and calls itself repeatedly until all tasks on the board have been processed
    2. Board Reset - Monthly Tasks SubTasks
    3. Board Reset - Monthly Tasks Initialization
    4. Board Reset - Monthly Tasks Reset New Processing
*This scenario processes the task board items in chunks of 300 items at a time, and calls itself repeatedly until all tasks on the board have been processed.  See Resetting the Monthly Tasks Board section below for more details.

Each scenario can take up to 40 minutes to complete!  Upon successful completion of each scenario, DataTeam will receive a confirmation email.

    1. For ALL items, adds the new month to Processing Month
  4. Reset Statuses
    1. For all items in the Active group whose Processing Status is NOT QA Issue, sets Processing Status = Working On It
      1. Those whose Processing Status is QA Issue will remain in QA Issue status for the next month. Use this status when there is an issue that needs to be manually resolved before the next PROD.
      2. Those that have tasks that are STUCK, DealerVault Stuck, or Dealer Unresponsive will be reset to that status the next morning when the Ops Overview Daily Item Review scenario runs)
    2. 🚨 This will trigger a Monday Automation that sets Monthly Status = Working On It
  5. Trigger a daisy chain of scenarios to run after it - see above.

Onboarding Rooftops

The Make.com scenario for Board Reset - Ops Overview will not move items from Onboarding down to Active for the following processing month.  Instead, the Make.com scenario for Ops Overview - Daily Item Review will move them on the 1st of the following month.

Manual Process

ONLY follow this process if the Make.com scenario fails.

  1. Reset Dates -  For all where Processing Status = Verify Prod:
    1. Clear Processing Month
    2. Double check linked “Month” column (P. Month from Ops Monthly Task board) should = Processing Month.
    3. If it does NOT match, go back to Ops Monthly Task board & find that task:
      1. If CRM or DMS, clear out the extra months (We know these were done because we delivered that month on the Ops Overview board!)
      2. If other categories, we may still be missing the data & do not clear out the P. Month (unless you know for sure it was received and loaded). If there are 4 or more months listed in the P. Month for a task (we have not received data in 3 months for this task), follow the “Inactive Tasks” process above.
  2. Add New Dates to Processing Month
    1. For ALL items, add current month to Processing Month
  3. Clear all Task Owners
  4. Reset Statuses
    1. For all that are NOT Processing Status=STUCK, DealerVault Stuck, or Dealer Unresponsive, Set Processing Status = Working On It
(Those that are STUCK, DealerVault Stuck, or Dealer Unresponsive will remain in that status until the issue is resolved)
      1. 🚨 This will trigger an automation that sets Monthly Status = Working On It

Onboarding Rooftops

We will will no longer move items from Onboarding down to Active for the following processing month like we used to do manually.

The Make.com scenario for Ops Overview - Daily Item Review will move them the following day on the 1st.

The reason for this is that when items are moved down to Active on their processing start date (1 month after Start Date), if the rooftop is NOT a Collect Sales file, the Main POC gets an automated email asking them to verify unit counts for their first month. We do not want the client to get this email until the 1st of the month following their Start Date, as their sales will not have closed yet on the last day of the prior month.

    7. Clear Overview of Monthly SA (unlink from the clients)

7. Unlock the Boards

Unlock the SA+TVA Ops Boards

THIS IS IMPORTANT so that others are able to edit the boards again. Perform this after all reset scenarios are complete.

Ensure you are logged into the Clarivoy Support Monday account.

  1. Go to the SA+TVA Ops Overview board
    1. Click the Invite button in the top right corner
    2. At the bottom, under General Access, next to Everyone else at Clarivoy, choose “Contributor”. This will allow others to edit the board items once again.
    3. In the top right, click the X to close the dialog.
  2. Go to the SA+TVA Ops Monthly Tasks board
    1. Click the Invite button in the top right corner
    2. At the bottom, under General Access, next to Everyone else at Clarivoy, choose “Contributor”. This will allow others to edit the board items once again.
    3. In the top right, click the X to close the dialog.

8. Reenable Ops Overview Daily Review [if necessary]

If you are performing an automated Board Reset (using Make), then skip to Step 9.

Automated Process (no work required)

🚦 The Make scenario Ops Overview - Daily Item Review…. will not run on the last weekday of the month and is also automatically disabled, then reenabled during the Make board reset scenarios.  For full details, see here.

Manual Process - Reset performed on NOT Last Business Day of the Month

Otherwise, if you manually disabled the Make Scenario Ops Overview - Daily Item Review in a previous step before resetting the board manually, then we need to reenable it:

  1. Open the Make Scenario Ops Overview - Daily Item Review [Flip Processing Status]
  2. Flip the toggle in the top right corner from to

9. ODA Cleanup

Eliminated February 2026 because JM deleted the Date Inactivated column from the Cox ODA board, so we have no way to track which properties have been deactivated and which have not.  The column was deleted > 30 days ago by the time it was discovered, so I was unable to restore it from the Recycle Bin.

Need to automate this step via Monday automations (or Workflows) combined with a Monday/Postgres integration for DMUI Property Updates.

Cox ODA Cleanup

*** Note this only applies to Cox ODA.

  1. For Cox ODA Processing board, Reference the ODA Cleanup: To Inactivate view
(This shows you any reports that were delivered 2 months back. At the end of March, we should be turning off rooftops whose reports were delivered in January)
  2. Go to the DMUI - Data Management -> Properties. Set each rooftop property in the DMUI:
    1. Search for the property
    2. Edit
    3. VERIFY THIS IS THE ODA PROPERTY!! Should have "- ODA" in the name and "Is ODA" should be set to TRUE. If not, you may be on an SA property (if the client converted over to SA). Occasionally, people setup properties incorrectly and reuse an old ODA property for SA. If this is the case, and the client is a current SA client, do not modify the property. DO NOT MODIFY ANY SA PROPERTIES.
    4. Visible in Dropdown = False
    5. SA Dashboard Visible = False
    6. TVA Dashboard Visible = False
    7. Save Property
  3. Mark the recurring task on Ops Task board as Done
  4. 🚦 THIS LAST STEP HAS BEEN AUTOMATED VIA a Make.com scenario which runs the last day of every month
Delete Insycing Data Drop folders in Dropbox for the specific ODA property:
*** Be careful not to delete SA folders if client has converted to MTSA product ***
    • Leads
    • Sales
