Exporting Sales Data from CDK CRM

1. After logging in to your CRM, In the top right corner, click the dropdown to select the rooftop.
   
   If you have multiple rooftops and there is a “parent” rooftop (the group name such as “ABC Auto Group”) you can select that instead and get all the rooftops’ data together in 1 file.
    
2. Near the top left corner, next to +Add, click 🔍 Search.
   
    
3. In the dropdown menu under “Step 1 – Select which database to search”, select Sold Customer Search
   
    
4. Under “Step 2 – Select your search criteria”, click the following checkboxes next to each data type.  Make sure you are just selecting the first column of check boxes under the small computer icon! (NOT under the small lock icon).
   In the first column, check the following:
       Under Company:
           • Company Name
       Under Customer Information:
           • Name (First & Last)
           • Phone
           • E-Mail Address
           • Street Address 
       Under Purchased Vehicle Information:
           • VIN
           • Model Year Start
           • Make
           • New/Used
           • Price Start
           • Purchase/Lease Date Start
               THEN to filter, enter the start date next to Purchase/Lease Date Start
               THEN enter the end date next to Purchase/Lease Date End
       Under F&I:
           • check Delivered/Pending THEN to filter, select the circle after Delivered
   
   
    
5. Under “Step 3 – Get Your Search Results” at bottom of screen:
           check both boxes for:
           “Display All Vehicles for Prospect” 
           and “Include Dealer Info and Standard Address Fields”
    
6. Click the GO button at the bottom.
   
    
7. Once the results load, click DOWNLOAD MERGE FILE at the top
   
8. Save the file somewhere you will remember.  Name it with your dealership/group name, the word “Sales” and the month the data is for.  
   Example:  ABC Autos – Sales – Jan 2025.csv
9. If you did not select the “parent” rooftop in Step 1 and you have additional rooftops, repeat all previous steps for each additional rooftop.
10. If you have not already done so, you will also need to export a CRM Leads file for us from your CRM.  Click here for instructions on exporting the CRM Leads file from CDK CRM.
11. Log out of CDK CRM.
12. Go to https://upload.clarivoy.com/sourcereports to securely upload all files, checking the box for “Sales”.
