Dealr.Cloud: Setting Up CRM Leads Reports

Allow Clarivoy to export your leads data for you

This is our preferred method.

Existing Login for Clarivoy
If you already have an existing Dealr.Cloud login for Clarivoy, please add any new stores to the existing login.

New to Clarivoy
Please create a Dealr.Cloud login for Clarivoy:

  1. Use this format for the email address:  datateam+clientname@clarivoy.com
    Replace clientname with your dealership name (no spaces).  Make sure you include the + sign.  
    Example: If your dealership name is ABC Autos, the email address would be datateam+abcautos@clarivoy.com.
  2. If you have multiple rooftops, please enable access to all rooftops under the same login.
  3. Under Manage then Users check the following:
    1. View
    2. View All
  4. Please provide your Onboarding Specialist with the username and password.

Exporting CRM Leads on your own

Creating the CRM Report

  1. Login to Dealr.Cloud at https://manage.dealr.cloud/access/login
  2. At the top of the page, use the flyout menu on the left to switch stores
  3. Select Reporting
  4. Then click Reports
  5. In Query box, search for “Leads Report by Creation Date
    1. If you do not see any Lead reports, the correct permissions are not enabled
  6. Click Leads Report by Creation Date
  7. In the top left, under dealer.cloud logo, you will see the report name.  Click the 3 dots to the right of the report name
  8. Click Copy Report
  9. Then click OK
  10. You will then click those same 3 dots again to the right of the report name
  11. Select Customize Report
  12. Name the report “Clarivoy CRM Leads Report
  13. Click Return Values
  14. Then Click Select Values (in blue to the right of Return Values header)
  15. Remove all fields from selected and add the following:
    1. Name
    2. Source Name
    3. Creation Time
    4. Email
    5. Phone
    6. Customer First Name
    7. Customer Middle Name
    8. Customer Last Name
    9. Customer Address Line 1
    10. Customer Address Line 2
    11. Customer Address City
    12. Customer Address State
    13. Customer Address Zip
    14. Co Customer Phone
    15. Co Customer Email
    16. Preferred Vehicle Year
    17. Preferred Vehicle Make
    18. Preferred Vehicle Model
    19. Preferred Vehicle VIN
  16. Click the purple Update button
  17. Then click the teal Save button (at the bottom right)
  18. On the left side of the screen, scroll back up to the top of the Customize pane.
  19. Directly below the dealr.cloud logo, click the report name where it says “Reporting > Reports > Clarivoy CRM Leads Report > Customize”
  20. Enter Creation Time Start
  21. Enter Creation Time End
  22. *** IMPORTANT *** Clear the Status filter, remove "Active" by clicking the X on right side of the box
  23. Click Run Report.
  24. In the top right, Click Download CSV.
  25. Save the file somewhere you will remember. Name it with your dealership name, the words “DealrCloud CRM” and the months the data is for. 
    Example: ABC Autos - DealrCloud CRM – Jan 2025 to Feb 2025.csv
  26. If you have multiple stores, repeat the above steps for each additional store.  You must create a separate report for each store.
  27. Go to https://upload.clarivoy.com/mtsa to securely upload all files, checking the box for "CRM Leads”.

 

Pulling Monthly CRM Data

  1. Go to Reporting
  2. Click Reports
  3. Select Clarivoy CRM Leads Report
  4. Set Creation Time Change Date Range to "Last Month"
  5. *** IMPORTANT *** Clear the Status filter, remove "Active" by clicking the X on right side of the box
  6. Click Run Report.
  7. In the top right, Click Download CSV.
  8. Save the file somewhere you will remember. Name it with your dealership name, the words “DealrCloud CRM” and the months the data is for. 
    Example: ABC Autos - DealrCloud CRM – Jan 2025 to Feb 2025.csv
  9. If you have multiple stores, repeat the above steps for each additional store.
  10. Go to https://upload.clarivoy.com/mtsa to securely upload all files, checking the box for "CRM Leads”.
