ProMax: Setting Up CRM Leads Reports

Allow Clarivoy to export your leads data for you

This is the preferred method.

  1. Please create a Promax login for Clarivoy with Admin level access, using the email datateam@clarivoy.com.
  2. For our account, please check the boxes "Can Run Reports", "Allow Report Exporting”, “Full Access”
  3. Under Admin >  User access > Select our account and then check the Sales Manager title box.  These permissions are required for Clarivoy to setup CRM report delivery to our SFTP server.
  4. Please let us know if you use the Lead Source field or Ad Source field in Promax CRM to track your leads.  We need to know which column contains your lead source in order to load the data.
  5. Please let us know who your ProMax account manager is by providing their email address.

Account Setup for exporting on your own

If you prefer to setup the report and export the data yourself, you can do so, and then upload the file to our secure upload website.

1.    Login to ProMax CRM full website (not the Mobile website).  ProMax CRM can only be accessed from a PC using Internet Explorer.

2.     If you have multiple rooftops, switch to the desired rooftop/store by clicking the green right arrow icon in the top center, next to the store name.A screenshot of a phone

3.     Click on Reports in the gray tabs at the top.

4.     Under “Salesperson & BDC Management”, click on Prospect Activity Report.

5.     Click on Prospect Activity Report Builder.

6.     Click on Create New Report.  This brings up the Prospect Activity Report Builder.

7.     On the bottom left side, set Report Name to Clarivoy Leads.

 

8.     Under “Available Columns” select each of the columns listed below.  As you click on each column, it will appear on the “Selected Columns” list.

·       Date Entered (Log Date)

·       Advertising Source

·       Lead Source

·       Prospect Name

·       Street Address

·       Physical Address

·       City

·       State

·       Zip Code

·       Home Phone

·       Work Phone

·       Cell Phone

·       Email Address

·       Prospect First Name

·       Prospect Last Name

·      Customer ID

·       Dealership Short Name

9.     Click on Save Report.

10.  Click on Run Report.

11.  Next to Dealer, select the store.

12.  Enter the desired dates (right side).

13.  Click Compile Report.


14.  Click Export (top left side).

15.  Click Ascii File (CSV).
 

16.  Save the file somewhere you will remember.  Name it with your dealership name, the words “ProMax CRM” and the month(s) the data is for. 
Example:  ABC Autos – ProMax CRM – Jan 2024.csv

17.  If you have multiple rooftops, repeat all steps above for each additional rooftop/store.

18.  Upload all files securely at https://upload.clarivoy.com/mtsa, checking the box for “CRM Leads”

 

Moving forward, you will be able to pull the leads easily each month by following the steps below.

Pulling the Prospect Activity Report Manually

1.     If you have multiple rooftops, switch to the desired rooftop/store by clicking the green right arrow icon in the top center, next to the store name.A screenshot of a phone

2.     Click on Reports in the gray tabs at the top.

3.     Click on PROSPECT ACTIVITY REPORT (under “Salesperson & BDC Management”).

4.     Click on the report name (usually Clarivoy Leads).

5.     Next to Dealer, select the store.

6.     Enter the desired dates (right side).

7.     Click Compile Report.


8.     Click Export (top left side).

9.     Click Ascii File (CSV).

 

10.  Save the file somewhere you will remember.  Name it with your dealership name, the words “ProMax CRM” and the month(s) the data is for. 
Example:  ABC Autos – ProMax CRM – Jan 2024.csv

11.  If you have multiple rooftops, repeat all steps above for each additional rooftop/store.

12.  Upload all files securely at https://upload.clarivoy.com/mtsa, checking the box for “CRM Leads”
