Reynolds & Reynolds: Exporting Leads Data for Source Reports

Setting up the Report

If you have already set up the report, please skip to Pulling the Report Monthly section below. 


1. Go to Reports | Collections: 

a. Click on CUSTOMER in the top left dropdown box (next to the initials) 

Click on REPORTS at top right menu, then select COLLECTIONS from dropdown menu 

b. OR IF YOU START IN THE "FOCUS" SCREEN: 
k the 3 lines Menu bar button in the top right 
Under Reports, click "Collections" 

2. At the bottom right, click "Add" 

3. Primary Category = Prospect 

4. Name = Clarivoy CRM Leads Report 

5. Click "Add criteria" 

a. Prospect Created Date 
b. Comparison = Range 
c. Enter the date range needed 
d. Update 

6. Add (bottom right)


7. Follow steps to export: 

a. Under “Collection Name”, find "Clarivoy CRM Leads Report". Click in the middle of the row that contains "Clarivoy CRM Leads Report" (it will turn yellow). Do not click on the  underlined report name. 
b. Click EXPORT (bottom right) 
c. If this is the first time running report for this client- you will have to select each desired  column from the “Available” list on the left: 

• Client Address1 
• Client Address2 
• Client Alt. Email 
• Client Cell 
• Client City 
• Client Email 
• Client Full Name 
• Client Home Phone 
• Client Phone: Other 
• Client Phone: Text 
• Client State 
• Client Work Phone 
• Client ZIP Code 
• Prospect Business Unit Name (*property) 
• Prospect Created Date Prospect Source (raw_source) 
• Prospect Source Group 
• Prospect Type (raw_source_detail) 

d. Enter the security captcha, then click on EXPORT. 
e. You will get a message that says “The system will process this Export job on the server. When  it is finished you will receive a message in your inbox”.

Click OK. 

8. Go get the file: 

a. Go to your messages: 

a1. Click on MY DESK at top right menu, then select MESSAGES from dropdown menu OR if there is no "Messages" under "My Desk",  
a2. Click the Focus icon at the top left (looks like a person) which will take you  
to https://focus.dealer.reyrey.net/

a3. Click the Home icon at top 
a4. Click the Inbox icon at the top center.

b. Click on name of report you just ran, listed in the search results


c. Under “Attachments”, click the arrow icon to download the file. 
d. Save the file somewhere you will remember. Name it with your dealership name, the words “Reynolds & Reynolds CRM” and the months the data is for.  
Example: ABC Autos – Reynolds & Reynolds CRM – Jan 2022 to Mar 2022.csv 

9. If you have additional stores, log out, then login to the next store. Repeat steps for each dealership. 

10. Go to https://upload.clarivoy.com/sourcereports to securely upload all files. 


Pulling the Monthly Report

1. Go to Reports | Collections: 

a. Click on CUSTOMER in the top left dropdown box (next to the initials) 
Click on REPORTS at top right menu, then select COLLECTIONS from dropdown menu 

b. OR IF YOU START IN THE "FOCUS" SCREEN: 
Click the 3 lines Menu bar button in the top right
Under Reports, click "Collections" 

2. Under “Collection Name”, find "Clarivoy CRM Leads Report". Click on the underlined report name to  edit the report. 

3. Edit the date filter: 

a. Click on the underlined words Prospect Created Date 
b. Change to the desired dates. 
c. Click Update. 
d. Click Save (bottom right).

4. Back on the Reports | Collections screen, find "Clarivoy CRM Leads Report". Click in the middle of  the row that contains "Clarivoy CRM Leads Report" (it will turn yellow). Do not click on the  underlined report name. 

5. Click EXPORT (bottom right). 

6. Enter the security captcha, then click on EXPORT. 

7. You will get a message that says “The system will process this Export job on the server. When it is  finished you will receive a message in your inbox”. Click OK. 

8. Go get the file: 

a. Go to your messages:

9. If you have additional stores, log out, then login to the next store. Repeat steps for each dealership. 

10. Go to https://upload.clarivoy.coahttps://upload.clarivoy.com/sourcereportsm to securely upload all files, checking the box for “CRM Leads”.
