Why don't my Sales counts match the Clarivoy Dashboard?

Understanding Sale Counts in the Clarivoy Dashboard

The Executive Summary page in the Clarivoy Dashboard displays your Retail unit counts for the time period selected in the date filter.

These sale counts include Leases, but exclude common B2B Sale Types (such as Fleet, Dealer Trade, and Wholesale).  
The sale counts displayed on the Executive Summary page are defined as:

  • Total Sales - total Retail + Lease sales from your DMS (excludes B2B sales)
    • New - total New Retail + Lease sales from your DMS (excludes Fleet and Dealer Trade)
    • Used - total Used Retail + Lease sales from your DMS (excludes Wholesale)
    • Unclassified - Retail + Lease sales from your DMS that were not identified as either New or Used

We filter out B2B Sales and they are not included in your Sales Attribution reporting as we focus on your marketing efforts designed to drive Retail sales.  For more information on how we filter B2B Sales, see B2B Sale Filtering.

 

Reasons Why Your Sale Counts May Not Match

These are the most common reasons why your sale counts may not match those shown on the Executive Summary page:

  • Using a different Source of Data - In most cases, Clarivoy obtains sales data directly from the F&I side of your DMS.  If you are pulling sale counts from any other source (such as an Accounting Statement or CRM reporting), they may not align with what we are receiving from the F&I side of your DMS.
     
  • Using a different Date field - The date field we use to count your sales differs depending on your DMS - see list below.  If you are using any other date field to count your sales (such as Delivery Date or Purchase Date), the counts may not match.  For example, a vehicle's Delivery Date may be different from the Contract Date if the customer did not take delivery on the day of purchase.
    • For CDK, we generally use Accounting Date
    • For Tekion, we use Contract Date
    • For Reynolds & Reynolds, we use Deal Date from the F&I side of your DMS
    • For most other DMS, we use Contract Date

  • Including On Order vehicles in your sale counts - We only count Finalized sales and do not include those with other deal statuses (Booked, Pending, On Order, etc.).
     
  • Including B2B Sale counts in your sale counts - We exclude B2B Sales from your Sales Attribution reporting.  If you are including B2B Sales in your sale counts, the counts will not match what is displayed in our Dashboard.
     
  • Not properly identifying B2B Sales in your DMS - We identify B2B Sales using the Sale Type field from the F&I side of your DMS and exclude them from your reporting.
    • If you are not using common B2B Sale Types to identify B2B Sales, we may be unable to identify them.  Sale Types we identify as B2B include: W, Wholesale, F, Fleet, D, T, DT, X, Dealer Trade, and Commercial.
      • If you are using custom Sale Types to identify B2B Sales (for example, 1=Wholesale), please notify us and we can set up custom B2B filtering for your dealership's Sales.
    • If you are updating the Sale Type on the Accounting side of your DMS, it may not sync with the F&I side of your DMS.  We can only pull data from the F&I side of your DMS.
       
  • Data Quality Issues - These type of issues are not common and are more likely to occur when pulling sales from a CRM.  We perform several quality checks on each Sale before it is included in your reporting.  The following issues can cause sales to be excluded from your Clarivoy reporting:
    • Missing or Invalid VINs
    • Missing or Invalid Sales Date
    • Missing or Invalid Vehicle Year
    • No PII
