NewTech: Sales Data For Source Reports

Setting Up the Report

If you have already created the report, skip ahead to Pulling the Report Monthly.

  1. Click on TOOLS at top menu, then click on CREATE LISTS from submenu
  2. Click the New icon (top left)
  3. NOTE: Contact First Name, Contact Middle Name and Contact Last Name are added to the report by the system automatically.  You do not need to add those fields into the “List Criteria”.
  4. Under General, then Communication Information, click each of the following then click “Add Data Without Filter”:
    1. Primary E-Mail
    2. Primary Home Phone
    3. Primary Phone
    4. Primary Work Phone
  5. Under General, then Address Information, click each of the following then click “Add Data Without Filter”:
    1. Street 1
    2. Street 2
    3. City
    4. State
    5. Zip Code
  6. Under Sales Customer, click each of the following then click “Add Data Without Filter”:
    1. Category
    2. Primary Salesperson
  7. Under Sales Customer, click: 
        a. Dealership 
        IF YOU ARE PULLING FOR ONLY ONE DEALERSHIP IN THE GROUP: 
            i.    THEN under Filter Criteria-> Select the dealership you need 
            ii.    THEN click “Add Data With Filter” 
        OTHERWISE (TO PULL A MULTI FILE FOR ALL STORES IN THIS LOGIN): 
            i.    THEN click “Add Data Without Filter”
  8. Under Sales Customer, then Purchased Vehicle, click each of the following then click “Add Data Without Filter”:
    1. Make
    2. Model
    3. New/Used
    4. Stock Number
    5. VIN
    6. Year
  9. Under Sales Customer, then Advanced, click each of the following then click “Add Data Without Filter”:
    1. Sale Amount
  10. Under Sales Customer, click: 
         a. Status 
         THEN under Filter Criteria → Select Data to Filter By, click “Finalized” 
         THEN click “Add Data With Filter” 
  11. Under Sales Customer, click: 
         a. Date 
         THEN under Filter Criteria → Select Data to Filter By, enter the dates for which you need to pull Sales 
         THEN click “Add Data With Filter” 
  12. After this, the Selected List Criteria should look like this: 
  13. Click the Save icon (top left)
    1. Description = Clarivoy Sales Report
    2. Category = Misc.
    3. Save
  14. Click EXPORT at left side menu
  15. In "Are you exporting this for a mass e-mail campaign?" pop up box, click NO
  16. In the left side menu of the Save pop up window, click on the dropdown arrow next to NETWORK
  17. Scroll down and click on TSCLIENT, then double  click on \\TSCLIENT\WEBFILE
  18. Name file, then click on SAVE (file will export at bottom of your browser like normal)Save the file somewhere you will remember. Name it with your dealership name, the word “Sales” and the month(s) the data is for. 
    Example: ABC Autos – Sales – Jan 2024.csv
  19. In pop up message that asks if you want to try and open the file, click NO.
  20. Upload all files securely at https://upload.clarivoy.com/sourcereports, checking the box for “Sales”

Moving forward, you will be able to pull the Sales easily each month by following the steps below.

 

Pulling the Report Monthly

  1. Click on TOOLS at top menu, then click on CREATE LISTS from submenu
  2. Click on small yellow file folder icon at top left menu (to the left of floppy disk save icon)
  3. Select the list name you need in pop up window ("Clarivoy Sales Report"), then click on OPEN
  4. Under "Selected List Criteria", click on the Date filter (Example: "DATE 11/1/2020 to 11/30/2020")
  5. In the left "Filter Criteria" menu, change Start Date and End Date to desired previous month
  6. Click ADD DATA WITH FILTER in orange
  7. Go back to "Selected List Criteria" and select previous Date filter (the date filter that was already there with older dates), then click REMOVE
  8. SELECTED CRITERIA in blue at the bottom
  9. Click CREATE LIST in blue at the bottom
  10. Click EXPORT at left side menu
  11. In "Are you exporting this for a mass e-mail campaign?" pop up box, click NO
  12. In the left side menu of the Save pop up window, click on the dropdown arrow next to NETWORK
  13. Scroll down and click on TSCLIENT, then double  click on \\TSCLIENT\WEBFILE
  14. Name file, then click on SAVE (file will export at bottom of your browser like normal)
  15. Save the file somewhere you will remember. Name it with your dealership name, the word "Sales” and the month the data is for.
