To find out if we have a data integration with a specific vendor (DMS, Service, CRM, Call Tracking, Chat, Equity Mining):
- Search for the vendor on the Vendor Details & Instructions board in Monday.
- The Integration Method column will tell you if we have an integration with this vendor.
- The Integration Instructions column may provide additional information regarding the integration.
Vendor Not Listed
If a data vendor is not listed on this board:
- We do not have an integration available with the vendor.
- By default, we attempt to set up new vendors as a Download method, as long as the dealer is able to grant us a login with admin privileges (required in most systems to view all leads/sales for all dealership users/salespeople) and the vendor's system allows exporting of data which meets our Master Clarivoy Data Input Requirements.
- CS Support: In Rocketlane, choosing “Other” as the vendor on a Discovery Survey or Vendor Change Survey should automatically create a Login Request task containing our standard login request instructions (below).
- CS Support: Request the login from the dealer using these instructions.
- CS Support: Provide the login information (URL, username, temporary password) in the Rocketlane task chat and tag @Ops Team. Set the task status to Data Pull Needed.
- Ops Team: Once the login is received, attempt to download the data and confirm with CS Support if it is possible.
- If successful, Ops Team should:
- Add the vendor to the Vendor Details board
- Create a HelpJuice article including specific instructions for downloading data from that vendor
- If necessary (vendor is important enough):
- Add to the Rocketlane project field LOVs for the specific data type
- Add to the Clarivoy Properties board managed column LOVs for the specific data type
- Add a vendor-specific task to the Rocketlane template Phase 2 - Pro/Pro+ Data Tasks with dynamic conditions for the specific vendor
Standard Login Request Instructions
Existing Login for Clarivoy
If you already have an existing login for Clarivoy for this vendor, please add the store(s) to the existing login.
New to Clarivoy
Please create a new login for Clarivoy so that our team can pull and load this data for you each month.
- Create 1 login containing all stores together.
- Use this format for the email address: datateam+clientname@clarivoy.com
Replace clientname with your dealership name (no spaces). Make sure you include the + sign.
Example: If your dealership name is ABC Autos, the email address would be datateam+abcautos@clarivoy.com.
- Please enable access to: view all leads for all Users/Salespeople at the dealership.
- Enable access to Export data.
This sometimes requires the user profile to be set to Admin or Manager access.
- Please reply with the login URL, username, and if applicable, the temporary password.
Dealer or Vendor Requests a New Integration
Dealer or Vendor Requests a new Data Integration
If a dealer or vendor requests a new integration:
DO NOT PROMISE ANY DEALER OR VENDOR ANYTHING!! Simply tell the requestor that you will forward the request to our Ops & Engineering Teams for review and will get back to them with an answer after it has been reviewed.
PLEASE NOTE:
- New Vendor data integrations typically take months to set up due to Legal agreements (Data Sharing Agreement), Engineering resource planning, and other factors.
- New Dealer Direct data integrations (dealer sends the data, not the vendor) can be much quicker. For dealer direct integrations, but we typically ask that the dealer to automate delivery of the data from their end.
-
CS or Sales: Gather the following information and open a ticket on the Tickets Board
- Is the integration with the Vendor or Dealer directly?
- Number of Properties affected
- Dealer information - properties affected, client name
- Vendor Name
- Data Type
- Vendor or Dealer Integrations Team Contact - Name
- Vendor or Dealer Integrations Team Contact - Email Address (and Calendar link if available)
- Link to Integration Documentation - API, Webhook, or SFTP documentation
- Any additional detail that may be helpful
- CS or Sales: Inform the dealer or vendor that we will look into the possibility of a new integration. If the cost of the integration is viable, new Vendor integrations can take 6-12 months due to legal contracts (data sharing agreements), security assessments, Ops resources, and Engineering resources required to build the integration. We cannot promise that we will build any specific integration but we will look into the possibility.
- CS or Sales: If it is a Vendor integration, in the meantime, attempt to request a DOWNLOAD Login (see instructions above). If the dealer or vendor cannot or will not provide a login, you must go COLLECT.
-
Ops Team will review the integration request and assess the viability based on:
- Overall Impact to Clarivoy (Number of dealers using this vendor)
- Impact to Ops Team (length of time required to meet with vendor, review documentation, spec for Engineering, QA and test, onboard all existing customers, create vendor documentation, setup vendor onboarding process, etc.)
- Impact to Engineering (length of time required to code, test, and QA)
- Cost to Clarivoy (requires approval by the President)
- Legal Agreements Required (such as data sharing agreements; must be reviewed, negotiated, and signed by the President - can take up to 12 months)
