Dealer.com: Downloading Call Logs

Allow Clarivoy to export your call logs for you

This is our preferred method.

Please create a login for for Clarivoy so that our team can pull and load this data for you each month.

  1. Create a DEALER.COM login for Clarivoy using the email datateam@clarivoy.com.
  2. IF you use VinSolutions as your CRM, please add Dealer.com access to the same login you created for VinSolutions.
  3. IF you have multiple rooftops, please enable access to all rooftops under the same login.
  4. Enable the following access for the account:
        • Leads Application
        • Under Account Access, check all stores
        • Under Feature Access: Reporting Permissions, check the following:
               ☑︎ Lead and Contact Reports
               ☑︎ Call Tracking Reports
        • Under Feature Access: Lead Permissions, ☑︎ check all lines titled "Leads" (access to ____ leads)

Exporting Call Logs on your own

  1. Log into Cox Automotive online.
  2. Select Dealer.com Tile

     
  3. Click on the Leads Tile
  4. Click on the drop-down arrow on the top right of the screen next to the account name. 


  5. Click Switch Accounts

     
  6. Select the property that you are wanting to pull data for. 
    Auto Group accounts may have multiple rooftops names on the selection list while single rooftops may only show one name in the selection list.

  7. Click on the three bars at the top left of the screen.
  8. Select Phone Calls on the drop-down menu, then wait for the page to load.
  1. Next to the search button, click ADVANCED.
  2. Change the dates under CREATED to the desired date range.
  • If this is the first month then pull the 60 days prior to your Clarivoy Start Date for the backdata.

  • For subsequent months, choose the first and last day of the previous month.

  1. In the top right corner, click Search.
  2. Click on export icon (little tray with green arrow) at bottom left side.
  3. Select ALL PAGES and click NEXT
    If there are not enough records for multiple pages, it may only let you select Current Page Only
  4. Use the green and red arrows to add and remove columns from report. 
    Remove all columns and add the following (these are the columns required for every export):
  • Summary
  • First Name
  • Last Name
  • Email
  • Home Phone
  • Work Phone
  • Alternate Email
  • Company Name     [NOT Company]
  • Home Address1
  • Home Address2
  • Home City
  • Home State
  • Home Zip Code
  • Last Activity Date
  • Middle Name
  • Mobile Phone
  • Source

  1. Click EXPORT.  It may take several minutes to generate the file before it starts downloading.
  2. Save the file somewhere you will remember. Name it with your dealership name, the words “Dealer.com CT” and the months the data is for.
    Example: 2024 08 – ABC Auto – Dealer.com CT.xls
  3. Repeat the steps 4 to 16 if there are multiple rooftops under the account.
  4. Go to https://upload.clarivoy.com/mtsa to securely upload all files, checking the box for “Call Tracking”.
