CDK CRM Internal Integration Instructions

FORD DIRECT

If the dealer logs in to their CDK CRM through a Ford website (forddirectcrm.com or corp.sts.ford.com), they are “Ford Direct” and should go COLLECT.  (Reason: The 2FA setup and logging in is extremely difficult for Ford Direct and does not offer self-management of our user's 2FA configuration.  Additionally, non-Ford employees should not have Ford Direct logins.)

Send the dealer these instructions:

If they are a Ford dealer but they login through the regular CDK Retail site, see Non-Ford Instructions below.

Ford Direct Login Instructions

Login URL: https://forddirectcrm.com/ then click “SSO”.
If prompted, choose "External Identity".
If, after entering 2FA code, you get redirected to an old ELEAD Ford Direct login page, close out, then try the login URL provided again.  It should take you directly in to ELEAD then.

Ford Direct Password Change website

NON-FORD

  • For instructions on creating the login, see:
  • When testing a login, try a Prospect Search.  If "Download Merge File" does not appear, client did not grant Admin level access.
  • If you are Manually Downloading Data:
    • ****IF MORE THAN 50,000 Leads are returned in a search result, you will probably get a file containing an error (XML error page).  In that case, you must split into smaller date ranges until you have less than 50,000 leads per file***
  • For Groups:
    • If multiple rooftops are in the same login, client must enable ALL rooftops, including the "parent" Auto Group rooftop.  If you do not see a "parent" Auto Group rooftop, try to add it yourself (see instructions below) - and if not able to, ask the client to do so.
    • if the client does not enable the "parent" rooftop, we will not be able to differentiate leads between the different stores (Company [rooftop] column will not appear in the files and the leads will be identical for all rooftops when pulled separately).
    • For (MULTI) files, map the property aliases in the Company column (NOT Dealership Name which will be the same for every rooftop under 1 login).

Non-Ford Login URLs & Integration Methods

If the dealer logs in to their CDK CRM through login.connectcdk.com :

  • They have a new CDK Unify login and must be a DOWNLOAD.  This is due to the fact that CDK Unify login does not offer “authentication app” as a choice for the 2FA (which is required for Wall-E to sign in).
  • Update the Rocketlane task → Additional Info tab → Method to DOWNLOAD.
  • Make a note in the Notes field:  Unify login

If the dealer logs in to their CDK CRM through eleadcrm.com or retail.cdk.com:

  • Set up on Wall-E - see instructions below.

Set up on Wall-E

See Data Integration: Scraper Method.

  • Dealer IDs are found in the store dropdown selection box (top right corner of the main CRM page) in parenthesis following each store name.
  • If a login only contains one store, leave the Dealer ID input box blank.
  • Leave the Dealer IDs input box blank to pull all stores within the login (typically preferred for leads).  Create properties for all stores that do not exist.  Typically, you would only specify store IDs if you are wanting to pull sales for specific stores only (Starter/Basic subscriptions).
  • Login and verify that you are able to download a file before adding to Wall-E.  If the “download” link is missing from the search results page, the dealer did not grant us the correct permissions.
  • Elead contains two different types of stores - single and multi.  Some logins may contain both types of stores, but you cannot setup Wall-E to pull both types of stores together on the same Wall-E configuration.  If you need to setup Wall-E to pull single stores and a multi store under the same login, you will need to split the setup into 2 different configurations/dealer setups on Wall-E.
    • elead (single) = the file(s) generated by elead will be for single stores only.  These files do not contain the “Company Name” column which appears only in elead (multi) files.  The store name/property alias is found in the “Dealership Name” column.
      • If a “single” store is selected, on the Search criteria page, you will NOT see a checkbox for “Company Name” in the top left.
      • if elead (multi) is selected, the config in wall_e.WALLE_CONFIG_INIT will have a value of null in the extra field
    • elead (multi) = the file(s) generated by elead will be for a multi store file.  These files contain the “Company Name” column which is the store name/property alias.  In these files, the “Dealership Name” column is the auto group name and is ignored by Wall-E when ETLing the file.
      • If a “single” store is selected, on the Search criteria page, you WILL see a checkbox for “Company Name” in the top left.
      • For multi stores, make sure you perform a sample search (for the previous full month) and download a file so you can see all of the stores/property aliases that are inside that file.  You may be able to see the multi/group store in the Elead store selector dropdown box, but all of the single stores within that multi file may not appear in the store selection box.  Look at the Company Name column in the downloaded file and map all of those property aliases.
      • if elead (multi) is selected, the config in wall_e.WALLE_CONFIG_INIT will have a value of group=1 in the extra field
