Clicktrails Excel Report Refresh

As clicktrails are produced automatically the morning after a property is released to PROD, we often need/want to get a new clicktrails Excel file for the client or analysis purposes. This is the process for how to get a fresh (up-to-date) clicktrails Excel file for a property.

This process does NOT rebuild/refresh the actual ClickTrails data, which is done by matching sales and leads.

  • The actual ClickTrails data and matching is refreshed every night for the most recent 90 days.
  • If any data is being loaded or reprocessed with a Sales Date or leads Start Date > 90 days ago, a manual process known as a ClickTrails Refresh must be completed by the Ops Team.  That process must be done 1 day prior to requesting an updated Excel ClickTrails file.

How to Request an Updated Excel ClickTrails File

  1. Go to this Google sheet: https://docs.google.com/spreadsheets/d/1YD-5oxAdOFEAfM_oahfCXV6037OKTpyxF6WUqdfXgEk/edit#gid=1498531275
  2. Navigate to the “Property” tab
  3. Enter the Property ID(s) (if entering multiple, you must enter one property ID per row) and the month that you need refreshed.
  4. The process runs overnight and your new file will be in the Clicktrails XLSX folder - in the month you had refreshed. (Example: if you requested a refresh of FEB 2024, then the new file will be in the FEB 2024 file in the Clicktrails XLSX directory.)
The ClickTrails files shown to the user in the DMUI will also be updated.
    - Note - You can see which have run successfully in the “Refreshed Property” sheet, and likewise you can see any that did not run successfully in the “Failed to Refresh Property” sheet.

Instructions are also available in the “Instructions” tab. Please create a ticket for engineering (in the Support workspace in Monday) should anything in this sheet not work as designed.
