Creating a new Account, Client, and Property requires a few checks before entering anything into the DMUI. Use this guide to verify the organization structure, confirm records do not already exist, and create the appropriate records.
Before You Begin
Before creating anything, make sure you:
- Have a Clarivoy Dashboard login with Super User permissions.
- Know the business or dealership name.
- Understand whether the dealership is independently owned or part of a larger dealer group.
Determine the Organization Structure
If you're unfamiliar with the business, spend a few minutes researching it before creating any records.
AI can be a helpful starting point for identifying:
- Whether the dealership appears to belong to an automotive group.
- The likely Account, Client, and Property names.
- Whether the dealership may belong under an existing Account or Client.
Do not treat AI responses as the source of truth. AI should be used to accelerate research, not make final ownership decisions.
Verify the ownership structure using reliable public sources before creating records. Depending on the situation, this may include:
- The dealership's official website.
- The dealer group's official website.
- The dealership's Privacy Policy, Terms of Use, or About page.
- A state's Secretary of State or Division of Corporations database when ownership is unclear.
- Other reputable public business records.
Similar dealership names, acronyms, or nearby locations do not necessarily indicate common ownership.
If you cannot confidently determine the organization structure, stop and ask for assistance before creating new records.
Verify Existing Records
Before creating a new Account, Client, or Property, search the DMUI carefully to confirm the organization does not already exist. Do not rely on a single search or exact name match.
Search for an Existing Property
When checking for an existing Property, use the following search order whenever the information is available:
1. Search by domain first.
The dealership's website domain is often the quickest and most reliable way to locate an existing Property.
For example:
exampleford.com
2. Search by Property Name.
If the domain does not return a result, search using the dealership or business name.
Try multiple variations and keep your searches simple. For example, instead of searching:
Cardinale Automotive Group
try:
Cardinale
Avoid unnecessary words that may prevent an existing record from appearing in the results, such as:
- Auto Group
- Automotive Group
- Group
- Automotive
- Autos
- Inc.
- LLC
3. Search by address.
If you still cannot locate the Property, search using the street number or other available address information.
For example, for 123 Main Street, try searching:
Main Street
Using multiple search methods helps identify existing Properties that may have been created under an older name, alternate spelling, or different naming convention.
Search for Existing Accounts & Clients
Search both Accounts and Clients before creating new records.
Start with the organization's name, but avoid searching only for the complete business name. Use the most distinctive portion of the name and try variations when necessary.
For example:
Instead of:
Cardinale Auto Group
search:
Cardinale
For Clients, remember that names are typically machine-friendly and may not exactly match the advertised business name.
⚠️ Safety Warning
A search returning no results does not necessarily mean the organization does not exist. Try the domain, simplified business name, name variations, and address information when available before creating a new record.
"DO NOT USE" Records
If you find a record labeled DO NOT USE, do not select or reuse that record. Locate the active replacement Property instead.
When an existing Property is being retired and renamed DO NOT USE, include the replacement Property ID in the name using the following format:
DO NOT USE - USE [new Property ID]
This allows anyone who encounters the old Property to quickly identify which record should be used instead.
Before Creating Anything New
Confirm that you have searched:
- Accounts using the organization name and simplified name variations.
- Clients using simplified and machine-friendly name variations.
- Properties by domain first, followed by Property Name/name variations and address when necessary.
- Any DO NOT USE record for a reference to the correct replacement Property.
Only create a new Account, Client, or Property after confirming that an appropriate existing record cannot be found.
⚠️ Safety Warning
Duplicate Accounts, Clients, and Properties can create reporting issues and require manual cleanup. Always check existing records first.
Interactive Walkthrough

The walkthrough covers:

Throughout the walkthrough, watch for Tips and Alerts that identify important naming standards, configuration requirements, and common mistakes.
Organization & Naming Standards
The DMUI uses three levels of organization:
| Record | Standard | Example |
|---|---|---|
| Account | Highest organizational level. Use the dealer group when applicable. | EXAMPLE Auto Group |
| Client | Machine-friendly identifier. Use lowercase letters with no spaces, punctuation, or special characters. | exampleautogroup |
| Company Name | Human-readable organization name. Usually matches the Account. | EXAMPLE Auto Group |
| Property | Individual dealership, location, or business being tracked. | EXAMPLE Ford |
For an independent dealership, the Account, Company Name, and Property will typically use the dealership's advertised business name.
For a dealer group, use the dealer group for the Account and Company Name. Each individual rooftop should be created as its own Property.
Example: Independent Dealership
| Record | Value |
|---|---|
| Account | EXAMPLE Ford |
| Client | exampleford |
| Company Name | EXAMPLE Ford |
| Property | EXAMPLE Ford |
Example: Dealer Group
| Record | Value |
|---|---|
| Account | EXAMPLE Auto Group |
| Client | exampleautogroup |
| Company Name | EXAMPLE Auto Group |
| Property | EXAMPLE Ford |
| Property | EXAMPLE Honda |
Whenever possible, copy and paste business names rather than typing them manually to avoid spelling inconsistencies.
For additional naming guidance, see:
DMUI Account, Client & Property Naming Standards
Property Field Standards
Use the following standards when completing a standard Property:
| Field | Standard |
|---|---|
| Property Name | Use the business name listed on the signed agreement whenever possible. If the agreement only references a website, use the business name displayed on the company's website or in Google Search. |
| Client | Select the Client associated with the Property. Always verify that the correct Client is selected. |
| Domain List | Enter the dealership website domain. Multiple domains may be entered as a comma-separated list. |
| Ignore Tag Anomaly Domains | Use only when a website redirects from one domain to another. Enter the redirecting alias domain in both Domain List and Ignore Tag Anomaly Domains. |
| Manufacturer List | Enter the manufacturer or manufacturers associated with the Property. Multiple manufacturers may be comma-separated. |
| Currency | United States = USD. Canada = CAD. |
| Address | Enter the property's physical address. |
| Latitude & Longitude | Populates based on the Address. |
| Time Zone | Select the time zone corresponding to the property's physical location. |
⚠️ Safety Warning
Never assign the same domain to multiple Properties unless the website is intentionally shared as part of a Parent Property configuration.
Before You Save
Before creating or saving the Property, verify that:
- The correct Client has been selected.
- The Property Name is accurate.
- Domains have been entered correctly.
- Manufacturers have been added.
- Currency matches the property's country.
- Address information is accurate.
- The correct time zone has been selected.
- The appropriate DMUI Flags have been configured.
Product-specific flags should not be configured from memory.
Refer to the DMUI Flag Configuration Guide for the current configuration standards.
Special Property Configurations
Some Property types require additional setup and should not follow the standard configuration above without reviewing their specific requirements.
